Privacy notice
Planet Malvern is a local events service for Malvern and the surrounding area. This page explains what we keep about you, why, and how to get rid of it. We have tried to keep it short and plain.
The short version
- We don't use cookies and we don't track you around the web.
- We count how often events are seen, what people search for, and how often they click through to the organiser's website. None of this is tied to you.
- If you sign up for the weekly email, we keep your email address and your choices. You can unsubscribe or delete everything in one click.
When you browse the site
We don't set cookies and we don't use advertising or third-party tracking. We don't store your IP address or your browser details.
To understand what is useful, we record small anonymous facts: that an event was shown in a list, that an event page was opened, that someone searched for something (the words typed), and that someone clicked a link to the organiser's website. Each record has a time and where it happened on our site (for example "search" or "weekly email"). Nothing in it says who you are.
We keep the words typed into search for 30 days, to see what people look for and can't find, then delete the words and keep only the count. We remove anything that looks like an email address or phone number before saving a search, but please don't type personal details into the search box.
Links to events go through our own address first, so we can count the click, and then send you straight on to the organiser's website. Once you are there, that site's own privacy policy applies.
If you sign up for the weekly email
We keep:
- your email address;
- the interests, audiences and "free only" choice you picked;
- the wording you agreed to and the time you agreed (and confirmed);
- a record of which events we included in each email, and when it was sent.
We use this only to send you the weekly email you asked for, and the confirmation email before it. We won't email you about anything else, and we won't sell or share your address.
We ask you to confirm your address first, and nothing is sent until you do. We don't use tracking pixels, so we don't know whether you opened an email. Clicks on events in the email are counted like any other click, without being linked to you.
Our legal basis is your consent, which you can withdraw at any time with the unsubscribe link in every email.
If you add an event
We keep your name and email address with the event you sent, so we can check details with you. We never publish them and only use them about that event. They are deleted 30 days after the event, or 30 days after we decide not to list it. Our legal basis is our legitimate interest in checking listings are accurate.

| Subscriber who unsubscribed | 90 days, then deleted |
| Name and email of someone who added an event | 30 days after the event, then deleted |
| Copies of emails we sent you | 90 days, then deleted |
| Record of which events were in each email | Until your data is deleted, and at most 13 months |
Who helps us run the site
- Cloudflare hosts the site, stores our data and sends our emails. They handle requests to the site, which includes your IP address, to deliver it and keep it safe.
- Anthropic (the makers of Claude) helps us tidy and check event listings. We send them public event details only, never anything about visitors or subscribers.
Events and organisers
We gather public event details from organisers' websites and calendars, and from organisers who add events here. We link back to the original source on every event. If you run an event and want yours changed or removed, email us and we'll do it.
Your rights
You can ask to see what we hold about you, correct it, or have it deleted. For the weekly email you can do this yourself: every email has a link to change your choices, unsubscribe, or delete everything we hold about you. You can also email hello@planetmalvern.com.
If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office.
Changes
If we change this notice in a way that matters, we'll update the date at the top. We'll tell weekly email subscribers if we ever start using their data for something new.
